Something happens in a business system (a booking, an order, an invoice), and a text goes to the customer’s phone number about it. It arrives in the phone’s normal messaging app, so it needs no app download and no internet connection on the customer’s side.

Three things separate a notification from other business texts:

A trigger. It is sent because of an event or a date, not because the business decided to run a campaign.

A purpose. It tells the customer about their own order, booking, account or payment. It does not promote anything.

An expectation. The customer gave their number for this and is waiting for it.

If a notification starts carrying offers (“Your order shipped! Take 20% off your next one”), treat it as a marketing text, because the marketing rules below then apply to it.

SMS notification meaning on your phone. The phrase has a second, everyday meaning: the alert your phone shows when a new text arrives. Businesses get this kind too. In Easify, when a customer texts your number, your team sees an in-app alert or a desktop notification, and the mobile app sends real-time notifications. This post is about the first meaning: texts a business sends to its customers.

SMS is not the only notification channel. Apps also send push notifications, which only reach people who installed the app and allowed alerts. For a side-by-side comparison, see SMS vs push notifications.

Types of SMS notifications for business

Most business SMS alerts fall into five groups. The trigger column is what should start the text in your systems.

Type

Triggered by

What it tells the customer

Order notifications

An order placed, packed, shipped or cancelled

The order went through, and what happens next

Appointment notifications

A booking made, changed, or coming up

Date, time and place, and how to reschedule

Payment notifications

An invoice due date, a payment received, a payment that failed

Amount, due date and where to pay

Account notifications

A change to the customer’s account or policy, a renewal date, a document ready to sign

What changed, and who to contact if it wasn’t them

Delivery and service-visit notifications

A driver or technician on the way, a delay, a job finished

Arrival window, and what to do if the time doesn’t work

One kind is missing on purpose: login codes and password resets. Those must arrive within seconds, and they usually come from a dedicated verification service, not a business texting platform. Easify’s API, for example, queues messages and says they may take up to an hour to send, so it is the wrong tool for one-time passcodes.

SMS notification examples

Keep each message under 160 standard characters, so it fits in one SMS segment. An emoji or other special character drops the limit to 70 per segment, and longer texts are billed as several segments. The SMS segment calculator shows the count before you send.

Name your business at the start of the first text and end that first text with “Reply STOP to opt out”. Later texts in the same series can leave the STOP line out. Examples that end with the STOP line are written as the first text a customer gets; the others are follow-ups in the same series, and need the STOP line if they are the first text a person gets from you. Use placeholder fields like [Name] for your merge fields.

Order confirmation

Hi [Name], this is [Store]. We got your order #[Order]. These are the ones to build in from the start.

Get the number with permission, and keep a record. Ask at checkout, booking or signup whether the customer wants texts about that order or appointment, and store when and how they agreed.

Keep marketing separate. Federal law requires prior express written consent for marketing texts sent with an autodialer, and carriers expect written consent for every marketing text. A notification with an offer added counts as marketing.

Identify yourself and include the STOP line once. Name your business in the first message, and end the first text a person gets from you with “Reply STOP to opt out”, service texts included. Later service texts in the same program can leave it out.

Confirm recurring sign-ups. If someone opts in to recurring texts, send a confirmation first: program name, how often messages come, “Msg & data rates may apply”, “Reply HELP for help”, and end it with “Reply STOP to opt out”.

Treat STOP as stop. If a customer replies STOP, stop all texts unless they confirm they still want service notices. Honor any opt-out sent by a reasonable means promptly, and never later than 10 business days.

Reply when they text first. If a customer texts you, carrier guidelines treat that as consent to reply with relevant information in that conversation.

Mind the clock. Federal quiet hours apply to marketing texts: send them between 8am and 9pm in the recipient’s time zone. Florida and Oklahoma limit marketing texts to 8am to 8pm. For notifications, daytime sending is still the better habit; a payment reminder at 11pm reads like spam.

Register your number. Register your brand and each campaign before you send from a 10-digit number; carriers require it and block unregistered traffic. Easify’s 10DLC registration support walks you through it (fees apply).

For the full list of checks before a campaign, use the TCPA checklist.

This section is general information, not legal advice: check state rules with your compliance counsel.

How to automate SMS notifications

A notification is only useful if it goes out every time the event happens, so it has to be automatic. In Easify, automated notification texts come from four places. Pick the one that matches where the event happens.

1. Your own system calls the API

If the event happens in your store, billing or order system, have that system call Easify’s REST API to send the text. The send endpoint takes a from number, a to number and the message (or media, for MMS). You create the API token under Settings > API Settings.

Two details matter for notifications. First, messages sent through the API are queued and may take up to an hour to send, so use it for order, payment and account notices, not for codes. Second, you can get delivery status back: Easify posts status updates such as “Delivered” to a URL you set under Settings > API Settings > SMS > Status Update, signed with an X-Easify-Signature header so your system can check they are genuine.

2. Your CRM or marketing tool sends through Easify

If the event lives in a CRM, send from there. Easify connects to GoHighLevel, ActiveCampaign, Zoho CRM and Zapier, so a workflow in those tools can send the text through your Easify number. Zapier covers most other apps: any app with a Zapier trigger can send an Easify SMS. See the ActiveCampaign setup guide for one example, and the full list on the integrations page.

3. Appointment reminders from Easify Bookings

If you book appointments in Easify Bookings, reminders are built in. When you add an event, tick SMS, choose the sending number and add up to four reminders, each set a number of minutes, hours or days before the event. Reminder Types let you save a reminder pattern, with texts or emails before or after the event, and reuse it. For more on reminder schedules, read automated SMS reminders for appointments and payments.

4. The automation builder

Easify’s automation builder starts a flow when a contact joins a group or gets a label. Steps include send SMS, send email, wait for a time period, if/else and “on response” branches. So to start a flow from an outside event, such as a new order or an overdue invoice, have your system or integration add the contact to a group or label. Messages can use merge fields such as first name, company and your business name.

Which route fits which notification

Notification

Route in Easify

Watch for

Order confirmation or shipped

Order system calls the API, or Zapier

API messages can take up to an hour; held outside open hours

Appointment reminder

Easify Bookings reminders

Up to four reminders per event; open hours apply

Payment due or receipt

Billing system calls the API or Zapier, or adds a label that starts an automation

No built-in payment trigger; the event has to come from your billing tool

Account change or renewal

CRM integration or API

Not for login codes that must arrive in seconds

Technician on the way

A text from the team inbox, or the API from your dispatch tool

A STOP from that customer blocks every text from your account

Follow-up after a reply

Automation “on response” branch

Flows start only from a group join or a label

Set open hours before you automate

The API, Zapier and Easify Bookings respect your account’s open and close hours, checked in the recipient’s time zone. Automations and CRM integrations don’t, so add a “wait until specific time” step to an automation that could fire at night. On the first three routes, a text that would land outside open hours is held and sent at the next opening time. That keeps notifications out of the night, but it can also delay them: a reminder set for one hour before an 8am appointment goes out at opening time if you open at 9am. Set open hours to match when your notifications should arrive. For an API message that must go now regardless, the send call accepts a force_send flag.

Know what STOP does

Easify recognizes common opt-out replies (STOP, UNSUBSCRIBE, CANCEL, END, QUIT and similar) plus any opt-out words you add, and puts that number on your blacklist. From then on, campaigns, automations and API sends all skip it, including service notices. If the customer replies START, the block lifts. The campaign composer warns you when “Reply STOP to opt out” is missing, but an automation’s send SMS step does not add it for you, so write it into the first text yourself.

Check that notifications arrive

SMS analytics splits results by source (Automation, Public API & Third Party Apps, Zapier SMS, CRM, Booking) and shows delivered, sent, replied, undelivered and failed texts, plus opt-outs. If one source shows a jump in failures, fix that integration before customers notice missing texts.

Common mistakes with SMS notifications

Adding offers to service texts, which turns them into marketing messages.

Leaving the business name out, so the customer doesn’t know who is texting.

Forgetting the STOP line on the first text when an automation sends it.

Sending reminders at night because open hours weren’t set, or sending them late because open hours were set too narrowly.

Using a business texting API for login codes that must arrive in seconds.

Notification texts that ask a question but send replies to a number nobody watches.

Never checking delivery reports, so failures go unnoticed for weeks.

FAQs on SMS notifications

What is an SMS notification?
An SMS notification is an automated text a business sends when something happens that the customer should know about, such as an order shipping, an appointment coming up or a payment falling due. It informs rather than promotes.

What does SMS notification mean on my phone?
On a phone, an SMS notification is the alert that shows when a new text message arrives. In a business context, it usually means the event-triggered texts a company sends to its customers.

What are examples of SMS notifications?
Order confirmations, shipping updates, appointment reminders, payment-due and payment-failed notices, account change alerts and technician arrival texts. The examples above show wording for each.

Do SMS notifications need opt-in?
Get the customer’s agreement when they give you their number, and keep a record of it. Marketing texts need more: federal law requires prior express written consent for marketing texts sent with an autodialer, and carriers expect written consent for every marketing text.

Can customers stop SMS notifications?
Yes. If a customer replies STOP, stop all texts unless they confirm they still want service notices. In Easify, a STOP reply blocks every text from your account to that number until they reply START.

What is the difference between an SMS notification and a push notification?
An SMS notification goes to a phone number and needs no app. A push notification comes from an installed app and only reaches people who allowed alerts. Read SMS vs push notifications for the full comparison.

How much do SMS notifications cost?
Businesses pay per message segment, so cost depends on volume and length. Easify plans start at $99 a month and run on credits; see pricing and the credit details. Customers may pay their carrier’s usual message and data rates.

Conclusion

Send each notification automatically from the system where the event happens, and check delivery reports.
